Supplier onboarding

This guide walks supplier admins through self-serve setup: starting a trial, the five-step setup wizard, and the first publish. Every step maps to a screen in the supplier admin and an endpoint on the Stockisto API. No developer needed.

Before you start

You need two things:

  • A work email address. This becomes your supplier admin login.
  • Your company name. This becomes your tenant name.

Everything else (brand colours, retailer data, install method) is set inside the wizard and can be changed later.

What gets created

Starting a trial creates a Supplier tenant, your admin user (role SupplierAdmin) and a default locator project in Draft state. All three are created in one step.


Step 1: Start your trial

Go to stockisto.com/trial and submit your email and company name. You can pick a plan card (Free, Start or Growth). Free is the default. You can also sign up with Google.

The form calls:

What happens:

  • Your tenant is created as a trial tenant with a 90-day trial window.
  • Your SupplierAdmin user and a default LocatorProject (state Draft) are created.
  • You are signed in right away and sent to the wizard.
  • A sign-in link is emailed to you. Clicking it confirms your email address.

Validation rules

  • Email: must be a valid address, max 254 characters.
  • Company name: required, 2 to 200 characters.

Email already registered

The signup response is the same whether or not the email is already in use. An existing address gets an "already have an account" email instead of a new tenant. Sign in from the login page.

Confirm your email

Open the email and click the sign-in link. It lands on /auth/verify, checks the token and signs you in. The link works once and expires after 20 minutes. Request a new one from the login page if it has expired.

Your account stays unconfirmed until you click the link. An unconfirmed account cannot send team invites. The admin shows a banner until you confirm.


Step 2: The setup wizard

The wizard lives at /wizard and has five steps: Welcome, Theme, Data, Invite and Verify. The rail on the left shows "Step X of 5" and which steps are done.

Steps open in order. A step is clickable when it is complete or is the next one to do. Leave setup for now takes you to the dashboard. The Finish setup checklist there brings you back to the next step.

How progress is tracked

Each completed step is recorded against your tenant with a timestamp. The wizard reads it on load (GET /api/v1/onboarding/progress) and writes it when you finish a step (POST /api/v1/onboarding/steps/{step}/complete). The server refuses to complete a step whose rule is not met and says why.

Step 2.1: Welcome

Enter your company name, your website (a full address starting with https://) and the markets you sell in. Pick at least one market. Choose Save and continue.

If Stockisto already tracks your brand, it shows how many products and retailers it holds and asks "Is this you?". Answer Yes, that is us to link the brand. If the brand needs an ownership check, you can Verify ownership with a work email on the brand's own domain, or Continue without linking.

Step 2.2: Theme

Enter a page on your website and choose Generate theme. Stockisto reads your primary colour, accent colour, logo and fonts from it. Each colour is marked Likely or Guess. Change any value in the card, then choose Looks right, save it.

  • Logo: paste a link, upload a file, or Make a logo from your brand name. Uploads: PNG, JPG, WebP or GIF, up to 10 MB. SVG is not accepted.
  • Colours: six-character hex values.
  • Fonts: System, Classic serif, Humanist sans or Geometric sans. Some pairings need a higher plan.

If Stockisto cannot read your site, fill in the card by hand.

Step 2.3: Data

Add your retailers and your products. Two tabs:

  • Upload file: drop a CSV or XLSX file. Stockisto shows the columns and first rows. Check the field mapping, then choose Import. Rows wait for your review under Imports. See the Data Import guide.
  • Web import: paste your retailer page or product listing URL and confirm you may ask Stockisto to read it. Stockisto builds a reader for that page (most pages take 20 to 90 seconds) and shows a sample. Choose Looks right, keep going to read the rest, or Not right and say what is wrong. Web imports publish on their own once the sample is accepted.

This step is done when an import with at least one approved row is published. You can Skip retailers or products, but not both.

Sample stores

A fresh trial shows six labelled sample stores so your locator is never empty. They are marked as samples and never show "In stock". They are removed as soon as you approve your first real import.

Step 2.4: Invite

Invite colleagues by email. Viewer sees everything; Admin can change the account. Choose Invite per address. The step is optional: continue with no invites and you are recorded as "just me". Your plan sets the number of seats.

Step 2.5: Verify

The step shows your where to buy pill in your theme and the snippet to paste. On a product page, replace PRODUCT-ID with that product's SKU or GTIN. On any other page, delete that line.

Add the snippet to a live page, open it, then press Verify. Stockisto checks that the pill rendered and reported back. If it has not reported yet, wait a moment and choose Check again.

Choose Finish to close the wizard. Finishing does not wait for a verified install.

Finish screen

The finish screen sums up what is saved and offers Create your first locator, which opens Locator config.


Step 3: First publish

Open Publish in the admin. The page has:

  • A preview link you can share without a login.
  • A checklist of what is still missing before publish.
  • The Publish action.

Publishing flips your locator project from Draft to Published. It:

  • Snapshots your current configuration as the last known good config.
  • Records the publish timestamp.
  • Clears the cached locator search, config and brand theme so the live version updates at once.

Once a brand is published, your hosted locator is live at https://stockisto.com/s/{brand-slug}.

Publishing is reversible

Every publish stores a config snapshot. If something looks wrong, choose Roll back on the Publish page (POST /api/v1/projects/{projectId} /rollback). Your locator returns to its last published state.

Visibility

A published locator is Public by default: anyone with the URL can view and search it. Unlisted keeps the URL working but does not index or promote it. See the Sharing + Groups guide.


What's next

During your trial

Your trial lasts 90 days at Pro-level limits. When it ends, your account settles onto the plan you chose. Free keeps a branded locator live with up to 10 retailers and 1 brand.
